- Senior Accounts Assistant
Senior Accounts Assistant Responsibilities:
i) Financial Record Keeping and Reporting-
- Maintain accurate financial records for the institution, including student fees, tuition payments, donations, grants, and other income sources.
- Assist in the preparation and maintenance of financial statements, such as income statements, balance sheets, and cash flow statements.
- Prepare and reconcile bank statements and financial ledgers on a monthly and quarterly basis.
- Ensure accurate and timely reporting of financial transactions and reports to senior management.
ii) Fee Collection and Management
- Oversee and track the collection of student fees and other charges (e.g., library fees, exam fees).
- Ensure timely follow-up on overdue fees and assist in resolving payment issues with students or parents.
- Maintain records of payments and issue receipts.
- Prepare and process invoices related to student tuition and fees.
Iii) Budgeting and Financial Planning
- Assist in preparing annual budgets for various departments and activities within the educational institution.
- Monitor expenditure against the approved budget, identifying variances and suggesting corrective actions where needed.
- Support in financial forecasting and ensure all spending aligns with the institution’s financial goals and objectives.
iv) Payroll Processing and Management
- Assist with the preparation and processing of payroll for teaching and non-teaching staff, ensuring accurate calculations for wages, bonuses, deductions, and benefits.
- Ensure that payroll is processed on time and complies with relevant tax regulations.
- Assist in maintaining employee records related to payroll, including overtime, sick leave, and vacation accruals.
v) Accounts Payable and Receivable
- Process invoices from vendors, suppliers, and contractors, ensuring timely payments and maintaining good relationships with vendors.
- Maintain records of accounts payable and ensure that payments are made according to agreed terms.
- Manage accounts receivable by tracking payments due, issuing reminders, and following up on outstanding invoices.
vi) Reconciliations and Audits
- Perform regular reconciliations of accounts to ensure accuracy and completeness of financial data.
- Reconcile financial discrepancies by collecting and analyzing account information.
- Assist in preparing for internal and external audits and provide necessary documentation as requested by auditors.
- Ensure compliance with financial regulations and standards specific to the educational sector.
vii) Donations and Grants Management
- Track and record donations, grants, and scholarships received by the institution.
- Ensure proper allocation of donated funds in line with institutional policies and the donor’s intentions.
- Prepare reports on the usage of grant funds and ensure compliance with grant terms and conditions.
viii) Internal Controls and Compliance
- Assist in maintaining and monitoring internal controls to safeguard the institution’s assets and ensure accurate financial reporting.
- Ensure that financial transactions are in compliance with both internal policies and external regulations governing educational institutions.
- Help ensure that the institution’s financial practices adhere to industry standards and accreditation requirements.
ix) Collaboration with Departments
- Work closely with various departments (such as HR, Admissions, and Procurement) to ensure proper accounting for transactions, staff reimbursements, and educational expenses.
- Support the finance team in reconciling departmental accounts and resolving discrepancies.
x) Training and Support
- Provide guidance and training to junior accounts assistants or administrative staff on financial systems, processes, and policies.
- Assist in implementing improvements in financial processes and accounting systems within the educational institution.
xi) Asset Management
- Assist in maintaining records for the institution’s fixed assets, including equipment, buildings, and infrastructure.
- Ensure accurate tracking, depreciation, and reporting of assets
Senior Accounts Assistant Requirements:
(A) Qualification:
- A Postgraduate of Commerce discipline
- Good knowledge of English, Marathi, Hindi, and Computers
- Must know about Tally Prime and be Comfortable with using Taxation software.
- Proficient in advanced knowledge of Microsoft Office Applications, including Excel
(B) Experience Details:
- 5 years of relevant in Accounts and Taxation
(C) Desired Qualities:
- Excellent written communication skills
- Effective communication skills, particularly in dealing with students, parents, and staff.
- Ability to work independently on assigned duties.
- Attention to detail and strong analytical skills
- Ability to work with educational software and accounting systems.
- Knowledge of relevant financial regulations and best practices in the educational industry.
- Strong organizational skills to manage multiple financial tasks simultaneously.

2. Accounts Assistant:
Responsibilities for Accounting Assistant:
- Work in coordination with the Assistant Registrar: accounts & Finance Officer. under the guidance of the Hon. Secretary and Directors of ILS.
- Take responsibility for accounts payable/receivable, cash receipts, account statement reconciliations, check runs, fixed asset activity, debt activity, etc.
- Monthly Payroll and Salary Processing
- Monthly Working of TDS, Payments, Quarterly and annual returns for the same.
- Monthly Working of GST, Payments, and Monthly returns for the same.
- MIS Reports of various units.
- Preparation of Fee details received from Students and maintaining and updating the same. Dues follow-up from students.
- Assist with the preparation of financial and statistical statements and reports.
- Analyse financial information to identify discrepancies.
- Research and resolve discrepancies in a timely fashion.
- Maintain confidentiality of all financial data.
- Interpret and apply accounting policies, rules, and regulations to all work to ensure compliance with applicable standards.
- Compile and prepare routine reports and summaries.
Accounts Assistant Requirements:
(A)Qualifications:
- Bachelor’s degree in commerce.
- Must know about Tally Prime and be Comfortable with using Taxation software.
- Good knowledge of English, Marathi, Hindi, and Computers.
(B) Experience Details:
- Minimum 1 years of relevant, hands-on accounting experience
- Proficient in advanced knowledge of Microsoft Office Applications, including Excel.
(C) Desired Qualities:
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy.
- Ability to work independently on assigned duties.

3. Library Technical Assistant:
Responsibilities for Library Technical Assistant:
- To work under the overall supervision of the librarian.
- Cataloguing and indexing of books and periodicals.
- Assist the Librarian in the supervision and administration of the library.
- Keep the books, ready for circulation.
- Assist the users with the effective utilization of library services.
- An arrangement for the maintenance and repair of books, periodicals, and other related equipment in the library.
- Arrangement of non-book materials.
- Managing special assignments/tasks as entrusted by the librarian.
- Circulation (Issuing and receiving) of books and learning materials.
- Maintenance of the library registers (Accession/periodical) and other statistical records.
- Shelving and rectification of library collection on a day-to-day basis according to the system of the library.
- Office timing will be eight hours in duration and will be adjusted as per the requirement of the library.
- Any other library works allotted by the authorities.
Library Technical Requirements:
(A) Qualifications:
Graduate in any discipline with B. Lib. I. Sc. (Bachelor of Library & Information Science) from a recognized university.
(B) Experience Details:
Minimum 1 Year experience in Library Work
(C ) Desired Qualities:
- Excellent verbal and written communication skills
- Well-versed with computer knowledge i.e. Microsoft Word, Excel, PowerPoint, and email.
- Ability to work independently on assigned duties.
- Great leadership and project management abilities.
